End User Permissions are used to control which users can access Action Management and manage cases within your project.
This can be accessed by clicking "Permissions" in the drop-down menu located in the top banner:
The following permissions are available:
Access Action Management - provides access to your project for this user (or users in a group). Without this permission enabled, the Action Management panel on the End User Portal will not display and the link to Action Management in the End User Portal global navigation will take users to a screen that says they do not have access. Users with this permission and no other permissions will have access to the Cases list and will see cases to which they are assigned in any role. They will be able to go to the Manage Case screen for their cases and make edits except changing the workflow (this function is tied to the "Set Up Action Management" permission).
Cases: View others - by default, users have access to the cases that are assigned to them. This permission provides a way for this user/group to view all other cases, regardless of assignment.
Cases: Manage others - this permission provides a way for this user/group to also manageall cases, regardless of assignment.
Caution: This permission will also act to bypass any workflow rules that are in place for a case. Be careful when granting this permission, as even if a user is not assigned to a case they will be able to make changes to it.
Note: This permission does not allow the user to change the workflow on the Manage Case screen; this requires the "Set Up Action Management" permission.
Cases: Create - provides the ability to create new cases. Note that this is currently a protected permission that requires further configuration to enable.
Cases: Delete - provides the ability to delete a case from the Case List screen.
Note: Users with this permission can only delete cases assigned to them unless "Manage others" is also granted; this allows the user to delete any case.
Caution: Be very careful when granting this permission. Mistakes can be made, and the wrong case can be deleted. Make sure your end users are trained in the proper protocol for deleting cases as for example you do not want a Case Manager to mistakenly believe they are supposed to delete a case after it is closed!
Set Up Action Management - this is the all-access pass. These users will be able to edit lists, workflows, roles, permissions, and do anything they want on the Manage Case screen for any case. Entrust this permission only to those who are charged with the maintenance of the Action Management project itself.
Note: This permission also provides one additional right - the ability to change a workflow associated with a case after that case has been created. If a case is created but assigned the wrong workflow, only someone with this permission may change it.
Groups and Users
The users and groups displayed here are related to the specific End User List that you selected as part of creating your project.
Tip: Assigning permissions based on a group is a convenient way to manage a project as you can simply add the end user to your End User List and they will automatically have the relevant permission.
Effective Permissions
Effective Permissions shows a summary of all user permissions regardless of which groups they belong to. This can be helpful if you have assigned permissions only to specific groups and users are contained within more than one group.
For example, we will grant "Case Managers" group to have the following permissions:
Now to see all the users who have "Manage others" access, select the "Effective Permissions" tab then click on the "Manage others" header to sort by this permission (click it again to sort the selected users to the top). We are now able to see that Aaron and Carla are the only users with "Manage others" permission.
